Ashikaga Japanese Language School (hereinafter referred to as “the School”) will appropriately manage and handle personal information in accordance with the following policy (hereinafter referred to as “this Policy”). When making inquiries or applications to the School, please read this Policy carefully and provide your consent.

Purpose of Use of Personal Information

Personal information provided during inquiries or applications will be used solely for the following purposes:

• ② Sending various materials and information
• ③ Using information such as name, gender, and date of birth to determine eligibility for admission
• ④ Using contact details such as phone number, email address, and home address to respond to application-related inquiries and notify applicants of exam dates, etc.
• ⑤ Using personal information specified in the application guidelines to apply for a Certificate of Eligibility at the Immigration Bureau
• ⑥ Collecting necessary personal information as needed for proper student management after enrollment

Provision to Third Parties and Outsourcing

Except as required by law, we will not disclose or provide your personal information to any third party without your consent for the purposes listed above (①–⑥). However, we may disclose your information without consent if legally requested by government authorities. Furthermore, the School will not outsource applicant or student information processing to third-party organizations (contractors).

Notes on Required Information and Non-Submission

Purposes (③–⑤) require submission of personal information at the time of application for enrollment. If the necessary information is not provided, your application may be declined. Without sufficient information, proper admission decisions cannot be made. Additionally, for purpose (⑥), if you do not consent to provide part or all of the necessary information for student management, admission may be denied.

Disclosure, Correction, and Deletion of Personal Information

You may request disclosure of your personal information held by the School. You may also request correction or deletion of that information. However, we do not disclose information related to admission decisions, as doing so may significantly hinder proper operations. Similarly, if disclosure would hinder proper student management after enrollment, we may decline the request.
